When landlords create listings or apply to list, we store listing details, property information, uploaded photos, availability, pricing, approximate and exact location data, and the account details needed to manage the listing.

We also automatically collect limited technical information such as your IP address, browser and device details, and activity timestamps, and we record listings you recently viewed so we can operate, secure, and improve the platform.

If you choose to become a verified tenant or apply to become a landlord, we collect additional and sensitive information you upload, which may include a government-issued identity document and proof of income or funds such as pay stubs, tax returns, or bank statements, as well as landlord application details like your legal name, contact number, and rental experience.

These documents are stored in a private, access-restricted area and are not publicly visible. Access is limited to you and authorised TCI Rent administrators, and the documents are used only to verify identity, financial standing, and eligibility, to reduce fraud, and to support the managed rental process.

Providing verification documents is optional. If you choose not to provide them, some features such as verified-tenant status or priority may not be available. You may ask us to delete verification documents after review, subject to the retention limits described below.

We use personal information to operate the managed rental marketplace, qualify rental requests, review identity and financial verification, coordinate communication and viewings, and send enquiry, alert, or account notifications.

We may use listing, account, browsing, and technical information to review submitted properties, personalise features such as recently viewed listings and property alerts, support verification, prevent misuse and fraud, and keep the marketplace reliable and secure.

We do not sell personal information and we do not use it for third-party advertising or behavioural profiling. We share information only as described in this policy or as needed for TCI Rent to support the managed rental process, coordinate viewings, or progress a genuine rental request.

We use trusted third-party service providers to operate the platform, and they process personal information only on our instructions. These include our cloud database, authentication, and file-storage host, our transactional and alert email delivery provider, and our map display provider used to show property locations.

We may disclose information where required by law, legal process, or a valid request from authorities, or where necessary to protect the rights, property, or safety of TCI Rent, our users, or the public, including to prevent fraud or abuse.

If TCI Rent is involved in a merger, acquisition, financing, or transfer of assets, personal information may be transferred as part of that transaction, subject to this policy.

If you create property alerts or saved searches, we store your search criteria and email address so we can send you notifications when matching listings become available.

We also send service and transactional messages related to your account, enquiries, and listing status. You can manage or unsubscribe from property alerts at any time, though essential service messages may still be sent while you have an active account.

We do not share your contact details with advertisers, and we do not send third-party marketing on their behalf.

We keep account, listing, enquiry, verification, and alert records for as long as needed to provide the service, resolve disputes, keep audit history, prevent fraud, and meet legal or operational requirements.

Inactive or removed listings, verification records, and enquiry history may remain in internal records so we can investigate reports, maintain platform integrity, and support landlords or renters who contacted us.

Where information is no longer needed, we delete it or anonymise it within a reasonable period, and verification documents may be removed after a review is completed unless retention is required.

You can request deletion of your personal information, including verification documents, by contacting TCI Rent with the email address linked to your account or enquiry.

We may need to verify your identity before deleting information, especially where the request relates to landlord accounts, listings, verification documents, or enquiry history.

Some records may be retained where required for security, dispute resolution, fraud prevention, legal compliance, or legitimate platform administration.

You can access and update much of your account information directly, and you may ask us to correct or delete personal information, withdraw consent you previously gave, or object to certain processing.
